Personal Data Collected

CivicServe collects and processes personal information needed for barangay service management, including your name, contact details, date of birth, gender, civil status, barangay, address, login credentials, uploaded valid ID, proof of residency or billing document, service requests, incident reports, community posts, chat messages, notification history, and account status records.

Purpose Of Processing

This information is collected to verify residency, review and approve resident accounts, process barangay document requests, respond to incident reports, send announcements and status notifications, support resident-to-barangay communication, prevent fraudulent submissions, maintain service records, and comply with lawful barangay administrative requirements.

Authorized Access

Only authorized CivicServe users from your assigned barangay, such as the barangay admin and personnel with approved module permissions, may access your records when needed for their official duties. CivicServe applies barangay-based access controls so personnel from another barangay cannot view or manage your resident profile, requests, reports, uploaded files, announcements, posts, or chats through the system.

Uploaded Documents

Uploaded valid IDs and proof of residency are treated as confidential verification documents. Before storage, files may be automatically checked for file integrity, readable image data, and known AI-generation metadata markers. They are stored on the backend, made available only through authorized barangay review screens, and should not be downloaded, shared, printed, or disclosed except when necessary for legitimate barangay processing, legal compliance, or resident verification.

Retention

Your data may be retained while your account is active and for as long as necessary to support barangay records, audit trails, dispute handling, service history, reporting, and legal or administrative requirements. When retention is no longer necessary, records may be deleted, archived, or anonymized according to applicable barangay policy and system limitations.

Your Rights

Under the Philippine Data Privacy Act of 2012, you may request access to your personal data, correction of inaccurate information, deletion or blocking when allowed by law, and withdrawal of consent for processing based on consent. Withdrawing consent may limit or prevent CivicServe from verifying your account or providing some barangay services. Requests may be submitted to the barangay administrator or the designated data privacy contact for review.
